Weddings and Event Policy | Wedding Flower Contract

Firstly, we would like to thank you for choosing “Betty Flowers Santorini” for your floral wedding styling and decoration. We are more than happy to work on your wedding decoration and make your special day as beautiful and magical as you have always dreamed! Placing an order with us constitutes your agreement to the below among with the General Terms and Conditions (here) and therefor you should read it carefully before ordering.

Payment Terms: To establish our cooperation and book your wedding day with us, a security deposit requires of 400€. This amount is non refundable and will be calculated along with the total costs. Upon order confirmation an extra 30% non refundable prepayment will be needed to proceed with the order of the flowers & décor items. That deposit must be paid in advance the latest 5 calendar weeks prior to the event. The rest of the amount may be in our bank account, through credit card or in cash. Balance due must be paid in full the latest one day before the wedding in case of cash payment. In case of bank transfer or credit card payment must be paid in full 15 days prior to the wedding date. If payment is not made in full, flowers will not be distributed, and this agreement is no longer valid, and all the payments are forfeited. All the individual costings are in Euros and are VAT exclusive. In case of any VAT changes, we have the right to transform the total costing.

Cancelations: Contract cancellation must be made in writing. The client will incur 50% cancellation fee prior to 4 (four) calendar weeks and no refund thereafter. For all cancellations received less than 2 (two) calendar weeks prior to the event, the full fee will be charged.  There are no refunds for partial cancellations or cancellations for individual items 14 calendar days (2 weeks) before the event. Flowers for those items, will be utilized to upgrade the arrangements purchased. If the event is cancelled for a reason outside of ours company control, any and all payments will not be refundable, after terms are accepted/ contract is signed. Please note that at all cases, including a force majeure event, all deposits are non-refundable.

Postponed and rescheduled events policy: If there is the need to postpone or reschedule your event, the date of the event must be updated within 30 days if possible. If this isn’t possible, the client should communicate the plans early and clearly with us to check the availability and avoid confusion.  The new date should be within 18 months of the original date. Any type of deposits paid will not be refundable.

Decoration Materials: Our company supplies fragile and delicate items that require special handling to avoid any damage and/ or loss. All the materials used for the decoration like vases, pots, baskets, lanterns, curtains, linens etc. are only for rental and they must be returned, unless otherwise stated. The rental period starts at the time of set-up and ends with the end of the event. The Client is responsible for the hire items and in case of any damage or loss, the Client will be liable for the subsequent costs (full selling amount). If during the hire period, the Client moves, adjusts, rearranges or removes floral displays, our company accepts no liability at all for any loss, damage or injury sustained by any parties resulting from such activities.

Pickup and Care: If the Client elects to pick up flowers and/or rentals for their event and choose not to have us deliver, we will provide an estimate of and recommendation for the space required to safely transport all items, proper care instructions to maintain freshness as adequately as possible and any instructions necessary to safely install any large floral décor pieces. We are not responsible for any damage to or the longevity of live product once any purchased or rented items (i.e., flowers, rentals, and other materials) have left our flower shop/ studio upon pick-up by the client or by any delivery service other than our in-house or contracted team. The client is solely responsible for and agrees to carry out the prescribed handling and care of all flowers and rentals, to ensure that they are delivered and set up properly, safely, and in the best condition possible. The client is responsible for any damage that may occur once flowers and rentals have left our studio.

Set-up/ Delivery: The client is responsible for coordinating and relaying all delivery times, regulations, and other specifics with the venue and us. We agree to safely transport all paid pieces outlined in the quote to the agreed upon location(s) during the agreed upon timeframe(s). Setup will be completed by us, ensuring safety and compliance with the venue’s regulations. Any delivery or setup requested that is outside the previously agreed upon scope is subject to availability in ours schedule that day and will incur additional fees to be charged to the client.

Set-up/ Transfer Fees: Transfer/ Set-up ad pick-up fee is 200€ (average). We are obliged to deliver all flower decoration in one direction i.e. the venue, set up and have everything ready half an hour before the wedding time. (Please note that flowers are fresh and cannot stay for long under the Greek’s high temperatures). In this amount, we offer services of 1,5-hour flower set-up and time needed in collecting back the decorating materials, early next day of the event. The fee can vary a lot if there are special installation and/or displays or there is not easy car access. In case the Client needs our services for longer or for relocating flower decorations for reuse, extra fees should be applied. Since we are not planners, our job is about the flower set-up. In case Client wishes us to decorate the venue with extra decoration items, which are not provided by us, an extra fee will be calculated, depending the set-up time. The transfer/ set up fee for weddings outside Santorini (destinations such as nearby islands Ios etc.) incurs extra charges, depending on the decoration project.

Sunday Services: Sundays and national holiday services are charged extra 150,00€.

Copyright: All designed stylings provided by our company are the property of our company and subject to Copyright law. They cannot be shown to, copied or used by any other company, florist or floral designer. If the Client decides not to use our services for the event decoration, all the design sketches must be returned without being coping.

After offering our services, we maintain the right to use and publish material related to your event (photos, video, text, stories etc.) in our “portfolio” section or for other promotional reasons, unless it is otherwise clearly expressed by another agreement. We will not, though, publish or use your personal information such as your full name, residence address or phone numbers.

Client agrees that we may use any floral arrangement images from the wedding / event for our portfolio, advertising, website, blog and magazine submissions and any other means of promotion. The client waives any right to payment, royalties or any other consideration for the use of the images. The Client waives the right to inspect or approve the finished product, including written or electronic copy, wherein client’s likeness appears. We are hereby held harmless and released and forever discharged from all claims, demands, and causes of action which the client(s), their heirs, representatives, executors, administrators, or any other persons acting on the client’s behalf or on behalf of the client’s estates have or may have by reason of this authorization.

Weather Conditions: In case the wedding venue is in exterior environment and the weather don’t allow us to follow the agreed decorating proposal, we have the right to proceed in changes (change or relocate items etc.) to avoid possible injures to the guests or damages to the hire items. We will stay close to the wedding style and budget and of course, under Client’s notification and agreement.

Flowers’ Condition: In case the flowers and foliage will not have a water source and been under summers high temperatures for long time, they might lose their freshness and wither.

Substitutions: Any type of flower can be provided, through import partners. However, fresh flowers and foliage are subject to availability depending on demand, season etc. We reserve the right to use similar flowers, providing equal or higher quality results. Also, since we are established on an island and all flowers are traveling here, even in the best conditions, we reserve the right to make substitutions in the received event’s flowers are not of the quality suitable for the client’s event. In this case, the integrity of the proposed color scheme will be maintained, and flowers of equivalent value will be used. You will be notified of any adjustments.

We shall not be held liable for any damage, expenses or settlements occurred either a) by unpredictable events, acts of God, events out of the sphere of our responsibilities b) by misinformation or orders given to us by the Client (i.e. the desired day/time of the event, the number of the invitees etc.). In case that something of the above occurs, it will be considered that we have fulfilled our contractual obligations and you are obliged to pay for the services rendered.

In the event that we cannot perform the services as outlined in this agreement due to death or serious illness or injury (excluding force majeure events listed above) that renders we unable to operate, we will use all reasonable effort to secure another florist to perform the services on their behalf. If we fail to secure another florist, 50% of the deposits paid will be returned to the client. We are not responsible for events that are cancelled by the Client.

Validity & Contractual Ability: By accepting and agreeing to those terms you agree that you are at least 18 years old and that you possess full contractual ability according to the applicable law.

Interpretation, Applicable Law and Jurisdiction: The Client expressly agree that the present terms and conditions shall be interpreted by the Greek Law. The applicable law for any disputes arising according to these terms and conditions, contract or other relationship between you and our company is the Greek Law.

The present terms and conditions and any other terms and conditions related to them, shall be interpreted and construed independently. If it occurs that any part of this agreement is found to be invalid by the applicable law, the other terms shall be considered valid and will not affect the remaining.

The Client expressly agree that for any dispute arises by the present terms and conditions or by the law, fall into the exclusive jurisdiction of the Greek Courts and namely to the Courts of the seat of our company.

Changes to the terms and conditions: The present terms and conditions are subjects to change. We withhold the right to change these terms without any prior notice. Therefore, we strongly suggest that you read these events terms and conditions for updates amendments, every time you are about to make any contractual agreement. In case of change of these terms, the applicable are these one which existed by the time of the signing of the contract. Betty Flowers Santorini is obliged to keep copies of all the amendments to these terms and conditions. The client is also obliged to keep a printed copy of the terms existing by the time of the signing of the contract. These terms were last updated on June 27, 2023.

Pre-Wedding Meeting: To meet you in person (in case we haven’t been met) see the agreed wedding flowers, discuss all the wedding details in person and in case of cash payment, settle the payment balance, a pre-wedding meeting should be booked whenever it will be most convenient to you upon your arrival to Santorini before the wedding day.

Our Promise to You: “Betty Flowers Santorini” will make every effort to deliver all the agreed services specified on our last wedding proposal, which means this is the valid, will guarantee our presence at the place, date and time specified. However, for events outside of our reasonable control (accidents/ strikes/ unusual weather condition/ legislation/ decrees etc.) we accept no liability whatsoever.
